Candidate Privacy Policy for Potential Employees and Contractors

Reddit (“Reddit,” “we” or “us”) is a "controller" in relation to personal data that you or your agency provide to us. This means that we are responsible for deciding how we hold and use personal data about you. You are being sent a copy of this privacy notice because you are applying for work with us as an employee, worker, or contractor or have been referred for work with us as a contractor through an agency or other party. This notice describes how and why we may use your personal data, namely for recruitment and onboarding purposes, and how long we may retain your data.

Your activity on Reddit platform as a user is still governed by the Reddit Privacy Policy unless stated otherwise.

What Personal Data We Collect

In connection with your application or referral for work with us, we will collect, store, and use the following categories of personal data about you:

  • information you or your agency/employer provide to us in your CV and any other correspondence;
  • information you or your agency/employer provide on any application forms you have submitted to us, including name, title, address, telephone number, personal email address, date of birth, gender, employment history, qualifications , educational information,  job title, salary and financial details;
  • information you or your agency/employer provide to us during an interview, or as part of the application or onboarding process (such as test results);
  • if you accept a role, information or documents you or your agency/employer provide to us as part of an identity verification or right to work check, which may include your passport, national ID card, work permit, residence permit, and/or date of birth;
  • where permitted or required by law, sensitive personal data:
    • information about your race or ethnicity, citizenship or nationality, gender, and sexual orientation;
    • information about your health, including any medical condition; and
    • information about criminal convictions and offenses.

 

How We Collect Your Personal Data

We collect personal data about candidates from the following sources:

  • you;
  • if applicable, your recruitment agency, from which we collect the following categories of data: employment history, work experience, skills, education, background checks;
  • if you apply for a job with us directly, our background check provider, from which we may collect the following information where permitted by law: employment verification, extended global sanctions, global criminal check, social media check, and credit check; 
  • your named references, from whom we may collect the following categories of data: employment experience and job performance; and
  • publicly accessible sources or websites (e.g. LinkedIn: employment history, work experience, skills and education).

 

How We Will Use Information About You

We will use the personal data we collect about you to:

  • assess your skills, qualifications, and suitability for the role;
  • carry out background and reference checks, where applicable;
  • communicate with you about the recruitment and onboarding process;
  • keep records related to our hiring processes; and
  • comply with legal or regulatory requirements.

In some jurisdictions, we may use AI note taking services to help interviewers engage with you instead of taking manual notes. You will be informed about it prior to your interview and you can choose to opt out of the use of these services during your interview.

We also need to process your personal data to decide whether to enter into a contract of employment or a contract for your services and where it is necessary for us to carry out our legal obligations. 

If You Fail to Provide Personal Data

If you fail to provide information when requested, and that information is necessary for us to consider your application or suitability for the role (such as evidence of qualifications or work history), we may not be able to process your application successfully. For example, if we require a credit check or references for this role and you fail to provide us with relevant details, we will not be able to take your application further.

How We Use Particularly Sensitive Personal Data

We will use your particularly sensitive personal data in the following ways:

  • we will use information about your disability status to consider whether we need to provide appropriate adjustments during the recruitment process, for example whether adjustments need to be made during a test or interview; 
  • to comply with any applicable legal or regulatory requirements; and
  • where permitted by law, we may use data for analytics purposes to improve our recruiting process.

 

Information About Criminal Convictions

Where required or permitted by law, we may process information about criminal convictions. Where permitted by law, we may also ask our background check provider to collect information about your criminal convictions history. We conduct such checks if we would like to offer you the role, conditional on checks and any other conditions, such as references, being satisfactory. We only conduct criminal records checks, where permitted or required by law, in order to satisfy ourselves that there is nothing in your criminal convictions history which makes you unsuitable for the role. We have in place an appropriate policy document and safeguards which we are required by law to maintain when processing such data.

Automated Decision-making

You will not be subject to decisions that will have a significant impact on you based solely on automated decision-making.

Why Might You Share My Personal Data with Third Parties?

We will only share your personal data with the following third parties for the purposes of processing your application or onboarding: other entities in the Reddit group, background check provider, and service providers of tools used in the application and onboarding process. All our third-party service providers and other entities in the group are required to take appropriate security measures to protect your personal data in line with our policies. We do not allow our third-party service providers to use your personal data for their own purposes. We only permit them to process your personal data for specified purposes and in accordance with our instructions. We do not sell candidate personal data. 

We may share information with regulators, courts, and other legal authorities (e.g., tax and law enforcement authorities), where necessary to achieve the above purposes, or as required by applicable law, regulation, legal process, or governmental request.

International Transfers

Reddit, Inc., is based in the United States and we process and store information on servers located in the United States. We may store information on servers and equipment in other countries depending on a variety of factors, including the locations of our users and service providers. When applying for a role at Reddit, Inc., you consent to the transfer of data to the United States.

When we transfer the personal data of a candidate in the EEA, UK and/or Switzerland, to the United States, we rely on the Standard Contractual Clauses approved by the European Commission, the EU-U.S. Data Privacy Framework, the UK Extension to the EU-U.S. Data Privacy Framework, the Swiss-U.S. Data Privacy Framework, the European Commission's adequacy decisions about certain countries, for such transfers or other transfer mechanisms deemed ‘adequate’ under applicable laws.

Reddit, Inc., complies with the EU-U.S. Data Privacy Framework (EU-U.S. DPF), the UK Extension to the EU-U.S. DPF, and the Swiss-U.S. Data Privacy Framework (Swiss-U.S. DPF) as set forth by the U.S. Department of Commerce.  Reddit, Inc., has certified to the U.S. Department of Commerce that it adheres to the EU-U.S. Data Privacy Framework Principles (EU-U.S. DPF Principles) with regard to the processing of personal data received from the European Union in reliance on the EU-U.S. DPF and from the United Kingdom (and Gibraltar) in reliance on the UK Extension to the EU-U.S. DPF.  Reddit, Inc., has certified to the U.S. Department of Commerce that it adheres to the Swiss-U.S. Data Privacy Framework Principles (Swiss-U.S. DPF Principles) with regard to the processing of personal data received from Switzerland in reliance on the Swiss-U.S. DPF.  If there is any conflict between the terms in this privacy policy and the EU-U.S. DPF Principles and/or the Swiss-U.S. DPF Principles, the Principles shall govern.  To learn more about the Data Privacy Framework (DPF) program, and to view our certification, please visit the ​​https://www.dataprivacyframework.gov/.

Reddit, Inc.’s compliance with the DPF is subject to the investigatory and enforcement powers of the U.S. Federal Trade Commission. In accordance with the DPF, Reddit, Inc., is also liable for onward transfers to third parties that process personal data in a way that does not follow the DPF unless Reddit, Inc., was not responsible for the event giving rise to any alleged damage.

Reddit, Inc. commits to resolve DPF Principles-related complaints about our collection and use of your personal data. For EU, UK, and Swiss-based individuals with inquiries or complaints regarding our handling of personal data received in reliance on the DPF should first contact Reddit at eurepresentative@reddit.com. In some situations, the DPF Framework gives you the right to invoke binding arbitration. You can do this to resolve complaints not resolved by other means, as described in Annex I to the DPF framework. In compliance with the EU-U.S. DPF and the UK Extension to the EU-U.S. DPF and the Swiss-U.S., Reddit, Inc., commits to cooperate and comply with the advice of the panel established by the EU data protection authorities (DPAs) and the UK Information Commissioner’s Office (ICO) and the Swiss Federal Data Protection and Information Commissioner (FDPIC) with regard to unresolved complaints concerning our handling of personal data, including human resources data, received in reliance on the EU-U.S. DPF and the UK Extension to the EU-U.S. DPF and the Swiss-U.S. DPF in the context of our application.

Data security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorized way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need-to-know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected data security breach and will notify you and any applicable regulator of a suspected breach where we are legally required to do so.

How Long Will You Retain My Information?

If you apply for a role at Reddit and your application is unsuccessful, we will retain your personal data for a period of time after we have communicated to you our decision about whether to appoint you to the relevant role. We retain your personal data for a variety of reasons, such as considering you for future positions, improving our recruitment practices, preventing duplication of recruiting efforts, or defending against potential legal claims, or as otherwise required by law.  After this period, we will securely destroy your personal data in accordance with our policies and applicable laws and regulations. If permitted by law, we may store data longer if an applicant accepts a role, in compliance with an employee privacy notice provided to employees at the time of employment. If you do not want us to retain your data to consider you for future roles, please submit a ticket with our Privacy Team.

Your Rights in Connection With Personal Data

If you are applying from the European Economic Area (“EEA”) or Switzerland, Reddit Netherlands B.V. is the data controller for your data. For all other regions, including the U.S. and the UK, Reddit, Inc., is a data controller for your information.

Depending on where you reside - such as in the UK, European Economic Area, Switzerland, or California - you may have the right to:

  • request access to your personal data (commonly known as a "data subject access request"). This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it.
  • request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate information we hold about you corrected.
  • request erasure of your personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have exercised your right to object to processing (see below).
  • object to processing of your personal data where we are relying on a legitimate interest (or those of a third party) or public interest as the legal basis for our processing. 
  • request the restriction of processing of your personal data.

Right to Withdraw Consent

When you applied for this role, you provided consent to us or your recruitment agency to process your personal data for the purposes of the recruitment or onboarding exercise.
